Vacancy: IRFU Travel Coordinator

The IRFU are inviting applications for the position of Travel Coordinator. Reporting to the IRFU Team Services Manager, the successful candidate will provide an efficient and effective travel service for the IRFU.

Essential:

  • Excellent attention to detail;
  • Excellent organisation with the ability to work under pressure within deadlines and budget;
  • Ability to multitask and quickly interpret complex details and information;
  • High regard for customer service to IRFU stakeholders;
  • Very good geographical knowledge;
  • Excellent communication skills both verbal and written;
  • A high level of self-motivation, working independently and as part of a team;
  • Good problem solving skills and strong initiative;
  • An excellent knowledge of MS Office packages;
  • Strong negotiation skills, the ability to negotiate excellent value for the IRFU;
  • Proficiency in Amadeus.


Desirable:

  • Experience working in the travel industry with proven ability in dealing with large groups and the airline industry.


Responsibilities include:

  • Fulfilment of all requested flight arrangements for the IRFU;
  • Coordinate internal transport in terms all coach, taxi and van transfers for the IRFU;
  • Liaison with International Airport Authorities, Custom Authorities and Police to ensure the smooth transfer of IRFU Teams and Stakeholders through International and Domestic Airports;
  • Arrange all ad-hoc meeting room requests;
  • Assist with the coordination of special projects as assigned by the Team Services Manager;
  • General administration duties as required or assigned by the Team Services Manager;
  • Production of regular travel reports on a quarterly basis;
  • Ensure compliance with IRFU travel budget allocations for tournaments, events in conjunction with the IRFU budget holder;
  • Investigate and implement cost saving initiatives where possible across the IRFU;
  • Invoicing and collection of revenue from stakeholders and staff;
  • Credit card reconciliation on a monthly basis;
  • Coding of purchase orders in a timely and efficient manner;
  • Processing refunds and airline tax refunds where applicable;
  • This position requires cover outside of normal office hours and weekends during events, tours, tournaments and stakeholder travel;
  • Assisting with accommodation arrangements for the Team Services Department.


This position is full time and is being offered on a 2 year fixed-term contract basis. It is based in our Ballsbridge, Dublin office.
